When the most qualified individual has been identified and cleared through the appropriate supervisory channels, an employment offer may be made. An offer must be consistent with the current salary for that position, and exceptions to existing salary budgets must be approved by the Provost.

In the event the employment offer is not accepted, ask the reason for declination and send it to the Office of the Provost. The Chair of the Search Committee in which the position exist must notify EOS whether they decide to:

  • Make the employment offer to the next qualified candidate
  • Ask the search committee to identify additional candidates
  • Cancel the candidate pool and reopen the position

Finalized Process

Once a decision has been made to extend a full-time employment offer, the faculty appointment package should be assembled and submitted to the Provost's Office. The appointment package should contain:

  • Letter of offer (Appendix J)
  • Prior Approval Request Form (Appendix I)
  • Prior Approval Request for Start-Up Commitments for New Faculty (Appendix I) — this form is only to be used when an employment offer includes start-up commitments
  • Certification of Credentials and Qualifications for a Tenure Line Faculty Appointment (Appendix S)
  • Affirmative Action Report (Appendix G) — The Search Committee chair should complete this report
  • Applicant Summary Report (Appendix H) — List the top five candidates in ranked order. For those candidates who were not selected to receive an offer, please indicate the reason for non-selection. Codes for non-selection (attached to the applicant summary form) are to be indicated for all applications received.
  • A list of all candidates with name and address and reason code (Appendix H) for non-selection
  • Copies of recommendation letters, vita, and other supporting documents of the selected candidate

Offer letters will be sent to job candidates from the Provost's Office. A return envelope, with postage, addressed to the Provost's Office will be included. If special arrangements are necessary (e.g., overnight mail), please indicate this when you send the offer letter to the Provost's Office, and include a mailing envelope and label. Returned acceptance/declination letters will be faxed to units as soon as they are received in the Provost's Office.

Once a candidate has accepted a position in writing, a Personnel Action Form (PAF) should be completed electronically. This form is initiated in departments/programs and routed electronically.
