New Employee Checklist

Welcome to The University of Texas at Arlington! Here is an easy step by step checklist to assist you with completion of all the required on-boarding items within your first month on the job which will ensure you are paid correctly and receive employee benefits in a timely manner.


calendar  Prior to Your First Day

checkmark  Offer Letter

Sign and return the offer letter to indicate your agreement to the terms of employment. The signed offer letter should be returned to your hiring department by the date stated in the letter.

checkmark  Employment Eligibility Verification (I-9)

The Employment Eligibility Verification (I-9) must be verified within the first 3 days of employment. This is a two-step process. The first step is to enter your personal and citizenship information on the I-9 form. You will receive the link to the electronic form in your Offer Letter. This first step should be completed at least a week prior to your first day. The second step requires you to present original documents from the List of Acceptable Documents to prove your identity and authorization to work in the United States. Bring the original documents to Human Resources department, J.D. Wetsel Building, Room 200 (view map), when you attend the New Hire Paperwork session within three days of your first day of employment. For more information, reference the following documents:

checkmark  Criminal Background Check

You should have received an email from UniversityofTexasArlington@screening.services with the subject line, Background Check Request. In this email you are redirected to a secure link managed by our partner, CompuFACT, to enter personal information required to conduct the background check. If you have not received the email or completed the background check request, please contact your hiring department.

checkmark  Gather Required Documents for New Employee Paperwork Session

At the New Employee Welcome and Paperwork Session, you will be completing the I-9 and other required documents. To complete the forms, you will need the following documents and information:

  • Acceptable documents for I-9 verification
  • Employee NetID and Employee ID Number (sent to you via email)
  • Void check or bank verification document for direct deposit
  • Benefits eligible employees need the required Documentation for Eligible Dependents to be added to benefit packages
  • Employees with prior year(s) service at either a State Higher Education Institution or State Government Agency (not Federal) need to have the name of the institution/agency where they previously worked and the approximate dates of service.

checkmark  Faculty Credentials

New employees appointed to a faculty position need to send an official transcript with your highest degree award to your hiring department to have certification of teaching credentials verified. Contact your hiring supervisor for details on where to send the transcript.

checkmark  New Employee Welcome and Paperwork Session

You should attend the New Employee Welcome and Paperwork Session during your first morning. The schedule for paperwork sessions is available on our New Employee Information page.  The session is held in J.D. Wetsel Building, Room 200 (view map).

You will need the following documents and information to complete forms:

checkmark  Parking Permit

Parking permits are required to park on campus. To purchase your faculty/staff permit, complete the form online at MAVPark account using your Net ID and password or in person at the Office & Classroom Building, located at 710 S. Davis Drive (view map). Once you are on the page, you will be able to select your e-permit. Be sure to enter the correct license plate numbers of the vehicles you want to add to your permit. Since your permit is virtual, NO DECAL will be sent nor will you need to display a physical decal. Your license plate number is your permit.

checkmark  Employee ID Card

This card provides official identification for faculty and staff members. It is the only way a member of faculty or staff can access card-related electronic privileges within the UTA community. Go to the Mav Express Center, University Center, suite 110 – across from Starbucks Coffee Shop (view map) to get your Employee ID Card. If your NetID was sent to you in the last 24 hours, your information may not be in the system. You can check on the status of your information by calling 817-272-2645.

The Mav Express Center also adds building access to the Employee ID Card. Your supervisor will notify the Mav Express Center on which locations you are to have access.

To access some classrooms or offices you will need a pin #. Log in to uta.edu/selfservice, select “View Information about Your Account” and make note of your 5-digit pin number. Keep your pin number confidential.

checkmark  Faculty Profile

UTA uses Digital Measures for faculty academic profiles. The profile includes contact information, academic accomplishments, and teaching assignments for the semester. New faculty must create their profile and upload course syllabi in Digital Measures. Contact your hiring department for more details.

checkmark  Insurance Coverage

Review the New Employee Benefits Enrollment Checklist for details about how to complete your enrollment. You must make your insurance elections online during your Initial Benefits Enrollment period, which is the first 31 calendar days of employment. If you do not make elections and you are a full-time employee, you will default to the Basic Coverage only. If you are a part-time employee, you will forfeit insurance coverage altogether if elections are not made.

checkmark  Retirement Option

Review the Retirement Options. If you are eligible and choose Optional Retirement Program (ORP), then submit enrollment forms within 90 calendar days of employment.

checkmark  Compliance Training

Compliance training is required of all employees as part of their job responsibilities. You will receive an email when your training is available. Once the email is received, you have 14 days to complete the training. If you have questions, please contact University Compliance Services at 817-272-2080 or compliance@uta.edu.

New employees will complete the training within their first 30 days of employment and annually thereafter.

checkmark  Supervisor Meeting

Meet with your supervisor to discuss your job description, performance expectations, probationary period, and performance evaluation.

checkmark  Maverick 101: New Employee Orientation

Attend the new employee orientation to learn more about the University of Texas at Arlington, listen to policies and procedures related to your employment, and meet representatives from different departments.

checkmark  UTA Principles of Community

As a new member of The University of Texas at Arlington community, the expectation is that you have a commitment to the advancement of knowledge and the pursuit of excellence. Realization of this commitment requires awareness and active participation by every member of the community. 

checkmark  Keys

If you need a physical key to access assigned facilities, your supervisor will process a key request form. The form is submitted via email or printed and mailed to the Key Control Office. Normally there is a twenty-four hour turn around. Only the employee whose name appears on the request will be allowed to sign for the key(s). Remember to take your valid university identification card or driver's license to pick up key(s) at Key Control Service located in the J.D. Wetsel Building, Suite 100 (view map).

Make sure you’ve reviewed the New Employee Benefits Enrollment Checklist and make your elections by submitting the paper enrollment form in person to our benefits department or through e-mailing the forms to benefits@uta.edu (including any additional paperwork for dependents - i.e. marriage license and/or birth certificates) within the first 31 calendar days of your employment.
