Equifax I-9 Management

The University of Texas at Arlington will begin utilizing Equifax I-9 Management to process and maintain Employment Eligibility Verification Forms, April 1, 2017. Equifax I-9 Management provides an automated process, compliance management and audit preparation to ensure that all forms are completed and maintained properly.

The new I-9 forms will need to be completed online, thus causing changes to how new employees are processed.

  1. The offer letter templates available in the Hiring Toolkit have been updated to include the link to Equifax I-9 Management.  This will allow each department to update their offer letters to include instructions on how to complete the form online.  The link is also available in the section for New Employee Information on the Human Resources page of the UTA website for student positions that do not require an offer letter.
  2. Once the newly hired employee accepts the job, the employee will be able to complete the I-9 form by clicking on the link from either location.  For new employees without internet access, computers are available for use Monday through Friday  from 8 a.m. to 4:30 p.m. in the Employment Services Office located at the Wetsel Service Building at 1225 W. Mitchell, Suite 101.
  3. After completion of the I-9 form, the employee will then attend a new employee paperwork session to provide required verification documents and complete other required documents.  The verification process must be completed within the first 3 days of employment as failing to do so is a law violation and can cause the university to incur sanctions from USCIS.  New Employee Paperwork Sessions are held Monday through Friday at 9 a.m. in Wetsel Service Building Room 200. For student employees who have 9 a.m. classes or are part time or adjunct employees who are otherwise employed and unable to attend the session should email requesting an appointment time.
  4. Employees who work remotely or are unavailable during office hours are still given the chance to complete a paper I-9 with a notary.  Again, the notary verification must be completed and received by mail at the Office of Human Resources within 3 days of employment to allow the form to be submitted into E-Verify.
