Fiscal Policies and General Procedures

I. Adoption and Amendment

These policies and procedures may be created, rescinded or amended by a majority vote of the Advisory Council.



II. Dues and Donations

Membership dues shall be payable on or before September 1 each year, and will be pro-rated for members who join after the first quarter. Renewal notices shall be mailed approximately one month prior to the end of the fiscal year, and members shall be notified when their dues are in arrears after dues are payable. Monies received shall be deposited in an account maintained by the University and shall be administered by the Dean of the Library in coordination with the Treasurer.



III. Fiscal Year

The organization shall observe the same fiscal year as the University which shall be September 1 ‑ August 31 or as observed by State government.



IV. Staff Liaisons

The Dean of the Library shall serve as liaison between the organization and UT Arlington. The Dean shall consult with the Development Committee as appropriate regarding donations of money and other gifts to the UT Arlington Library, advise the organization as to the needs of the Library, and provide an annual accounting of all funds received and disbursed by the Friends in coordination with the Treasurer of the organization.



V. Vote By Membership, Advisory Council, or Executive Committee

The basis for determining a voting result shall be as follows:

  • Majority Vote means more than half of the votes cast by those entitled to vote at a regular or called meeting at which a quorum is present.
  • Two-Thirds Vote means at least two-thirds (2/3) of the votes cast by those entitled to vote at a regular or called meeting at which a quorum is present.
