Printing in OIT Computing Facilities

Printing is provided for academic purposes only.  It is considered abuse to use UTAs printing for commercial purposes.  Abuse can result in loss of printing privileges.

How to Print

  1. From the program, go to File and choose Print Preview.

  2. If the Print Preview looks correct, then select Print from the Print Preview window.

  3. From the Print Window, check selections:

    • Print Range - Choose All, Pages (to enter a range such as 2-6), Current (to print the page currently being viewed), or Selection (to print only a section you have highlighted).

    • Print Frame - As laid out on screen if you want it to print exactly as it is displayed on the screen (see the Options tab for all Print Windows other than from Mozilla).

    • Print Properties/Preferences

      • Flip on Long Edge for duplex printing using the Portrait Orientation

      • Flip on Short Edge for duplex printing using the Landscape Orientation.

  4. Choose Print.

    • Give your job a name. You can also password protect your job at this point.

    • Hit Print.

    • After few seconds the cost for your print job will be displayed. Click OK or Cancel.

  5. When you are ready to print your jobs, you will need to go to the Print Release Station for that location.

    • Enter you NetID.

    • Swipe you Mav Express ID card (black strip facing the light)

    • Highlight a job to see how much it will cost. Highlight a job AND click Print to accept charges and to send the job to the printer.

    NOTE: You are not charged for your print jobs until you swipe your Mav Express card and click Print to release the print jobs to the printers. If you do not release your print jobs they will be deleted automatically after 2 hours without any charges occurring to your account.

In order to print using UTA's print management system, two small programs (Pharos Notify & Pharos Pop-up Client) must be installed on your laptop. Following are links to the install packages for Windows XP/2000 that will install these two programs for you (Windows 98 or earlier are not supported).

1. Login as an admin

3. Download and install the Popup.dmg file and Notify.dmg file

4. Open System Preferences.app

5. Click on the Print & Fax icon

6. Click the + button under the Printing tab or open Printer Setup Utility.app

7. Hold down the <Control> key on the keyboard and click anywhere on the toolbar.

8. From the popup menu that appears, select <Customize Toolbar...>.

9. Drag the <Advanced> icon to the toolbar and close the customization dialog.

10. Click on the <Advanced> button in the toolbar.

11. From the <Type> popup button, select <Pharos Print Server>.

12. In the <URL> field, enter the Unified Resource Identifier for the desired Popup queue on a Pharos Print Server.

      This value should have the format "popup://print_server_address/queue_name", without the quotes.

13. In the <Name> field, enter a name for the new printer queue. This is the name that you will see on the machine.

14. From the <Print Using> popup button, select the type of printer associated with the Popup queue.

     If the desired printer is not available, selecting "Generic PostScript Printer" will work in most cases.

15. Click <Add>. The new Popup queue will now show up in the list of printers.

The installer will configure a printer on your laptop for the respective locations. You will need to run the associated install package for each location to which you want to print.

You also have to add a port to your windows firewall.

1. Open your Windows Firewall Control Panel.

2. Click the Exceptions tab, and then click the Add Port... button.

3. Name the port Pharos Popup
4. Enter port number 515.
5. Click OK.

Now you are ready to print.

The Print Release Station filters print jobs by the login account of the computer that sent the print jobs.  When you go to release your jobs from the Print Release Station, you will need to enter the login id you used to log into your Windows computer. 

NOTE: Your computer may be configured to log into the local Administrator account by default.  That is, you are not prompted for a local login username and password, but Windows logs into the Administrator account automatically.  In this case, the ID you will enter at the Print Release Station is 'administrator'. You will likely see other print jobs from other computers that also use the local Administrator account by default, so be careful to only release your print jobs.  Fortunately, the print software prompts you for a unique name and optional password to associate with your actual print job.

Troubleshooting

No second popup

Pharos printing only works on the wired network.  Laptops will sometimes default to the wireless adapter even if a network cable is connected to the wired adapter when the computer boots.  You will know this is the case when the Pharos software is installed but the second billing pop-up does not appear.  When this happens, it is necessary to disable the wireless connection:   1.    Open Network Control Panel 2.    Right-click "Wireless Network Connection" 3.    Choose "Disable" 4.    Print.  Should get the second billing pop-up window.

To print a file (text and postscript files), enter the following command:

lpr -Pqueue_name filename

Each system has a default print queue. To determine the available print queues for your system, issue the following commands:

  • on Gamma2 lpstat -v

  • on Omega lpstat -p

Printing on both sides of a page can maximize the number of printed pages you
can get from your print quota. For example, the $100.00 printing allotment will provide 1,000 pages of single-sided black-and-white pages, but 1,332 pages of double-sided black-and-white pages.

  1. From the program, go to File and choose Print.

  2. Depending on the program you're using, click on Properties or Preferences, in the Print dialog window.

  3. In the Properties (or Preferences) window select Flip on Long Edge from Print on Both Sides section and click OK.

  1. Click OK again to print.

Internet Explorer:

  • From File, select Print Preview.

  • Choose As laid out on screen in the drop-down box.

  • Click Print if Print Preview looks correct.

  • Click Print.

Mozilla Firefox:

  • From File, select Print Preview.

  • If the Print Preview looks correct, click Print.

  • Select As laid out on the screen instead of "Each frame separately".

  • Click OK.

  1. Open the file in PowerPoint, not from a web page:

    • Open the website, and copythe address (URL) of the website.

    • From the File menu in PowerPoint, choose Open.

    • In the File Name field, paste the web address and click Open.

  2. From File, choose Print Preview.

  3. Select Handouts (# slides per page) from the Print What drop-down box, where # is 1, 2, 3, 4, 6, or 9 slides per page.

  1. If the Print Preview is correct, click Print, and click OK.

  • From File, select Print, and click Advanced.

  • From the Advanced Print Setup window, select Print As Image, click OK, and click OK.

  • Enter your NetID, and WAIT for the second print window before closing the program.

NOTE: If your pages are not printing correctly, choose page ranges and print a few pages at a time.

  • From File and select Print.

  • Uncheck the "Collate" box.

You can save files to your J-drive for future reference instead of printing a hard copy.  J-drive can be accessed both on-campus and off-campus.  In addition to J-drive, you can also save files to removable media, for example CDRW disc and/or thumb drive .  All of the Library and OIT public PCs have both CDRW drives and USB ports that support flash drives (a.k.a. pin or thumb drives). 

Quota Questions

A:  OIT currently charges the following rates per print job:

Black and White 8 ½” x 11”: $ .10 per page single-sided, $ .15 per page double-sided

Color 8 ½” x 11”: $ .50 per page single-sided, $ .75 per page double-sided

Black and White 11” x 17”: $ .25 per page single-sided, $ .38 per page double-sided

Color 11” x 17”: $ 1.00 per page single-sided, $ 1.50 per page double-sided

Plotters: Base Cost to Plot $2.00, Cost per linear inch $ .10

At this time, color printing can be found in the Architecture, Business, Click Café, Fine Arts, and Ransom labs. Large format (11” x 17”) both black and white and color can only be found in the Architecture lab. Plotters are located in the Architecture, Nedderman, and University Hall labs.

A:  Students enrolling in  Fall will be assigned a $100.00 printing allowance for the academic year.  This quota allows students a total of 1,000 black-and-white pages printed on one side of paper, or 1,332 black-and-white pages printed on both sides of paper.

For students enrolling on the Spring or Summer semesters, the printing allotment will be prorated as follows:

   *   If student starts school in Spring

o     $70.00 Printing Credit

o     700 black-and-white pages printed on one side of paper OR

o     933 black-and-white pages printed on both sides of paper (duplex)

*     If student starts school in Summer

o     $30.00

o     300 black-and-white pages printed on one side of paper OR

o     400 black-and-white pages printed on both sides of paper   (duplex) 

On the first day of classes of Fall, all student allotment's will be reset to $100.00 for the academic year.

NOTE: Although the quota allowance is given as a dollar amount, no cash value is being added to your Mav Express card. This is a printing credit only and can only be used towards printing. This credit will not work to pay for anything else on campus. If you donít use all of your printing allowance credit, you cannot request a refund  as these remaining credits have no monetary value and cannot be used for anything other than print jobs.

The quota system will be regulated through a studentís Mav Express Card, which must be swiped to print pages. If students exceed the limits they will be charged 10 cents per page for black-and-white printouts.  Color printing rates will vary depending upon location and type of color printer available.  If the quota limit has been reached, students can reload their cards.  Students can add money to their MavExpress card, check balances, etc. online at http://www.uta.edu/mavexpress.  There is also a vending machine on the first floor of the Central Library where cash can be added to the Mav Express account in $1.00 and $5.00 increments.

A: Once the print quota has been exhausted, the student will need go to http://www.uta.edu/mavexpress and select Deposit Funds to add additional funds to his/her Mav Express card.  The Mav Express office is responsible for regulating the printing quota system.

A: No. The unused portion of the free allowance expires at the end of the academic year (August).  You will be allocated new printing allowance once you enroll in classes again.

A: Any additional monetary funds that you add to your Mav Express card will continue to roll forward as long as you are actively enrolled at UT Arlington.  The free printing allowance does not.

A: Your remaining balance will be at the bottom of the release screen when you select a print job as well as on the banner page of every job that you release. You can also check your balance online at http://www.uta.edu/mavexpress.

A: Yes. Student organizations are assigned a $200.00 prorated printing allowance for the academic year.  Each organization's president is responsible for requesting and maintaining the organization's card.  The card can be obtained from Mav Express office. Their contact phone number is (817) 272-2645 .

A: Printing quota for GTA/GRA's  is the same as for faculty, which is $1000.00 annually.  If your card does not show proper balance, contact the Help Desk (817) 272-2208.

 This extra quota is intended to support faculty research. It is considered abuse to share this quota for general student use. Abuse can result in printing privileges being permanently revoked in the Library and OIT labs.

A: Yes, if the departments choose to get a departmental card and put money in a Copy and Print Only account via an IDT.  The department may contact the Mav Express office ( http://www.uta.edu/mavexpress) to make this arrangement.

MavExpress Card and Refunds

A: Students can add money to their Mav Express card and check balances online at http://www.uta.edu/mavexpress

A: Stolen cards should be reported to the Mav Express office immediately for deactivation. Their contact phone number is (817) 272-2645 .

A: A print job that is illegible (faded, large streaks, crumpled paper) resulting from a problem with a printer will be eligible for a refund. You will need to fill out a Refund Request Form and give it and the print job to the lab assistant on duty.

** NOTE: Any print job that does not print properly because of any user error or web site settings will not be eligible for a refund.

A: Every attempt will be made to repair the printer and get the print jobs printed immediately. If this is not possible, any print jobs that are lost in the print queue as a result of printer failure will be refunded as soon as the printer is repaired. You will need to fill out a Refund Request Form and give it to the lab assistant on duty.

Q:

A: No. Be sure you are swiping your card after entering the correct NetID. You will be responsible for all costs incurred by swiping your Mav Express Card, selecting a print job, and clicking Print.

A: If a print job is deemed to be eligible for a refund, the credit to the account will be made within one business day of receiving the refund request. An e-mail notification will be sent to the student's MavMail account (http://www.uta.edu/email) when it is completed.

A: The print quota allocation given to you that may be left on your account is not available for a refund, but any funds that have been put on your Mav Express card by you will be available for refund upon your graduation. You must go by the Mav Express office and request this refund. Their contact phone number is (817) 272-2645 .

Why did UT Arlington decide to charge for printing?

A: The lack of any page limits or per page fees in the past has led to excessive and abusive printing by some. These problems as well as the rising costs of paper, toner, and printer maintenance have forced the utilization of a Student Print Management Program starting the 2006 Spring semester.

Can I print from my laptop?

A:  Yes.  You can print from your personal laptop.  In order to print using UTA's print management system, two small programs (Pharos Notify & Pharos Pop-up Client) must be installed on your laptop.
