Setting up email with Outlook

Description:

Make sure you have the latest updates and patches before your proceed with the setup instructions.

How to Use:

Setting up the first e-mail account

  1. Open Outlook
  2. If this is your first time launching Outlook, Check the option to make Outlook your default email client and click Add Account.
    • If you are not greeted with the above window, then select Preferences from the Outlook menu.
    • Click the Accounts button.
  3. Click the Exchange button from the choices.
  4. Enter the Account information:
    • Your Email Address
      • On some rare occasions, you may need to try the form netid@exchange.uta.edu
    • Username is "uta\" followed by your NetID
    • Password is your NetID password
    • Disable Configure Automatically
    • Server is "owa.uta.edu"
  5. Then click Add Account when ready.

    If you see a warning about the Keychain, click Always Allow. This will allow Outlook to remember your email password.

  6. Change the Account Description and fill in your Full Name as you'd like it to appear.

Delete an Account

  1. Select Preferences from the Outlook menu.
  2. Click the Accounts button.
  3. Highlight the account you wish to delete.
  4. Press the Minus Button at the bottom of the list.

Share a Calendar/Folders

  1. Find and select the item you want to share such as your inbox, calendar, or other mailbox.

  2. From the Ribbon, select the Organize tab and click the Permissions button.
  3. Click Add User.

  4. Search for the desired individual and click OK once found.
  5. Set permissions as desired. Add or remove additional people as desired.

View a Shared Mailbox

  1. From the File menu, select Open Other User's Folder.
  2. Click the Address Book button.

  3. Search for the desired individual and click OK once found.
  4. Select the desired mailbox or calendar. Click the OK button.

Delegation

  1. Select Preferences from the Outlook menu.
  2. Click the Accounts button.
  3. Click the Advanced button.
  4. Click the Plus or Minus buttons to add or remove people from either the list of people you allow to send items on your behalf, or those people you are allowed to send items on their behalf.
  5. Search for the desired individual and click OK once found. Repeat as desired.

Setting up Rules and Alerts

  1. Select Preferences from the Outlook menu.
  2. Click the Rules button
  3. Click the Plus or Minus buttons to add or remove rules from the list.
  4. Configure the rule as you desire. Click OK when complete.

Import a PST

  1. From the File Menu, select Import.
  2. Select the type of file you want to import. Click the right arrow.

  3. Select the PST option. Click the right arrow.

  4. Locate the PST file on your Mac or on your J Drive.
  5. Wait for the import to finish.

  6. When the import is complete, click Done

  7. Notice how the inbox has changed. There is a small triangle next to the inbox meaning it can be expanded to view sub folders and items. Click the triangle to expand.

  8. Expanded, you can see both your default UTA inbox and the separate "On my computer" inbox and imported folders.

Exporting Mail Items

  1. From the File menu, select Export.
  2. Select the items you wish to include in your export. Click the right arrow.
  3. Decide if you want to copy the items you're exporting or to delete the originals. Click the right arrow.
  4. Choose a location to save the exported file.
  5. Wait for the export to finish.
  6. Click Done.

Disable Junk E-mail Filter

  1. Go to Tools and select Junk E-Mail Protection.
  2. Select None for the Protection Level and click OK.
