Tenure-Track Faculty Annual Review Documents

It is imperative that all Tenure-Earning Faculty start building their dossier through their annual review documents, as soon as they arrive at UT Arlington. The first year for a tenure-track faculty member may result in a dossier that is necessarily thin and cursory, but it serves as a place-holder later in the tenure dossier and, more importantly, a point of departure. The importance of using the tenure template becomes evident for the more extensive third year review, the midpoint review of the faculty member's progress toward meeting requirements and expectations for tenure and promotion.

These forms allow for the creation of a complete yearly performance record including recommendations from the chair, dean and ACTP. This process establishes more transparency, establishes a record of evaluation with recommendations, and contributes incrementally to the final T and P dossier.

Please review HOP Section 6-304 in preparation for advising tenure-track faculty on their annual reviews. Section 6-309 addresses Third-Year Reviews. The “Recommendation for Tenure Earning Faculty Form” is sent to each Dean  the Office of Institutional Research and Effectiveness in early Spring, providing each pre-tenure faculty member's name, rank, years of service at UTA, date they began on the tenure track, and the academic year of 3rd year review, follow up review (if warranted) and tenure review.

Section 6-304 Annual Review

A comprehensive review of each tenure-track faculty-member's progress toward tenure will be conducted annually by the department or School Promotion and Tenure (P/T) committee. Each academic unit must establish written protocols for materials to be submitted by the candidate and a deadline for submission. The committee will develop a written report on the faculty member's teaching, scholarship, and service, describing the accomplishments of the faculty member and detailing any deficiencies that need to be addressed. The committee will vote, by secret ballot, regarding reappointment and the results of the vote will be included in the committee's report. Copies of the report will be provided to the faculty member and to the departmental chair or, in the case of the Schools, to the dean of the School within ten (10) working days of the vote. In the case of the Colleges, the department chair shall place in writing a recommendation to reappoint or not reappoint the tenure-track faculty member and forward the recommendation to the dean. The deans of the Colleges and the Schools shall review the recommendation and make an independent recommendation to reappoint or not reappoint and forward all the recommendations to the provost. Copies of all the recommendations will be placed in the faculty member's dossier where they will be retained indefinitely.
