Office of Grants & Contracts Services (GCS)
Grant and Contract Services (GCS) provides assistance to faculty and staff in obtaining and managing sponsored awards that support research, scholarly and creative activities while assuring proper stewardship of those funds. The office is charged with review and approval of proposals sent to all sponsors.
Services
- Provide assistance in identifying external and internal funding sources and opportunities
- Interpret and review proposals for adherence to application and guideline requirements
- Provide and interpret University, state and federal policies
- Assist in budget development and ensure commitments made by the University are identified and approved by appropriate administrative personnel
- Process internal documentation for proposal submission and post‐award activities, including obtaining authorized signatures on grant and contract documents
- Provide post‐award assistance including interpretation of federal, state and/or sponsor regulations
- Review, negotiate and issue sponsored projects in the form of cooperative agreements, contracts, grants and subawards

Regulatory Services (RS)
Regulatory Services supports academic research by assuring institutional and investigator compliance with applicable regulations, policies, and industry standards in regulated research or scholarly activities. Regulatory Services works to enhance the research enterprise of the University by focusing on outreach and guidance, developing efficient programs to process research activities, and promoting ethical conduct of research.
Services
Guidance and assistance is provided to researchers in the following areas:
- Meeting federal and institutional regulatory requirements for research activities involving human subjects, live vertebrate animals, and recombinant DNA, including obtaining applicable University research approvals through the Institutional Review Board for Human Subjects (IRB), Institutional Animal Care & Use Committee (IACUC), and the Institutional Biosafety Committee (IBC).
- Identifying and managing situations involving existing or potential conflicts of interest.
- Developing safeguards and meeting applicable license requirements for export control research activities involving commodities, software, data, or technology with potential military or defense applications subject to the Export Administration Regulations (EAR) and/or the International Traffic in Arms Regulations (ITAR).
- Making available resources and training in the responsible conduct of research as established by the
federal Office of Research Integrity (ORI).
Training
Numerous training modules and tutorials are available online to researchers desiring to learn more about human,
animal, or recombinant DNA research, in addition to other topics such as conflicts of interest, lab safety, etc.

Office of Technology & Management (OTM)
The Office of Technology Management (OTM), a component of the Office of Research Administration, is responsible for the protection, marketing, and licensing of campus created inventions and intellectual property (patents, copyrights and trademarks). In coordination with UT System Offices (General Counsel ‐Intellectual Property Section and Research and Technology Transfer), OTM is charged with increasing the quality, quantity and effectiveness of University research in support of the economy and properly stewarding state‐provided resources and intellectual assets.
Services
OTM assists faculty/staff/students by:
- Informing and advising on policies, procedures and practices governing patent rights, employee intellectual property (IP) obligations and reporting (disclosing) of inventions to the University
- Evaluating the patentability and marketability of inventions, as well as the rights and equities of the University in an invention
- Negotiating IP and related agreements with commercialization partners.
The Office also:
- Selects, engages, oversees, advises and instructs outside legal counsel regarding Patent Office actions and the prosecution of patent applications and reviews/approves the payment of invoices for legal services
- Maintains IP and related agreement files and databases, evaluates the return on investment of the entire University IP portfolio, meets reporting and compliance requirements regarding inventions
- Identifies and markets intellectual property with commercialization potential
- Monitors and conducts reviews of license agreements, receives payment from IP agreements and makes distribution as required by UT System and University policies.
Electronic Research Administration (ERA)
Electronic Research Administration (ERA) is responsible for all electronic/web initiatives for the Office of the Vice President for Research and the Office of Research Administration.
Systems
The Profile System: The Profile System is the electronic information system used by
UT Arlington to organize and market the intellectual assets and resources of
university faculty. The Profile System is an information repository and web page
builder that allows faculty or assigned proxies to update faculty expertise in real
time. This information is then used to auto complete various regulatory and research
related forms, reports and systems.

Electronic Systems: ERA is responsible for all electronically approved forms for the Offices of Grant and Contract Services (e.g. Proposal Certification Form – BlueSheet) and Regulatory Services (e.g., IRB protocol forms, etc.).
The Collaborative Partnership: ERA works with other universities, university systems
and consortia including UT System to develop cross‐institutional applications and search
mechanisms to encourage and facilitate research collaborations between and among
university faculty.

Services
ERA provides consultation services to other departments to create and maintain dynamic websites and/or other data driven web portals. ERA assists faculty and staff with any technical issues related to all Research Administration initiatives. ERA is also responsible for maintaining the Office of the Vice President for Research, Research Administration and the Office of the Provost websites.
