Integrated Psychotherapeutic Services
Reports to: Program Manager
Definition:
The administrative assistant is expected to represent IPS and its mission by interacting with IPS clientele and related parties through phone, email, written correspondence, or in person at one of IPS’ physical locations. The nature of this interaction is expected to be professional, courteous, accurate, and encouraging. He or she is responsible for assisting clientele in the completion of intake documentation, processing of non-clinical records information, and linking clientele to appropriate clinical staff. He or she manages and executes assigned clerically oriented tasks in order to assist in the fulfillment of IPS’ mission. The administrative assistant is accountable and supervised by both the Program Manager and the Director of Operations. The administrative assistant fulfills a necessary auxiliary function and does not provide treatment services to its clientele.
Minimum Qualifications
-High School Diploma or equivalent; Some college preferred
-Experience completing administrative tasks such as answering phones, crafting emails, and scheduling appointments
-An ability to think and act in a fast paced and team oriented environment is necessary to thrive in this position
-Knowledge and skill with Microsoft Word and Excel

-Schedule sessions
-Craft emails
-Process intakes for new clients
-Data input
-Manage office supplies
-Manage lobby flow
-Other duties as assigned
