This website has many resources of interest to student organizations.  The Student Organization Handbook, which covers many of important issues to student organizations, is available on-line. The Handbook includes room reservation information, the sign policy, a listing of University offices commonly utilized by student organizations and more. The site also has a calendar of events pertinent to student organizations and links to Student Congress, the Constituency Councils and the UTA-HOSTS! Program. We will not provide links to any off-campus sites.
 
 Mail Slots
Mail slots for registered student organizations, are located outside the Office of Student Governance and Organizations. These mail slots are free and are required. All organizational mail is distributed daily to these slots. If you do not have a mail slot or have forgotten your number please check with the Office of Student Governance.
 
ListServs
Our office will assist you in setting up listservs for your organization.
 
Student Organization Accounts
This account is available to all registered student organizations. These accounts are maintained the Davis Hall’s Bursar's Office. There are no banking fees associated with these accounts.
 
Outstanding Student Organization Award
This award program recognizes organizations, which have shown excellence in serving their members, the University, and/or the community. Each organization is considered on the basis of its merits and unique qualities.  These awards are given in the spring and come with a plaque and a monetary award.  Applications and full details are available on the Student Governance web site.
 
Program Assistance Funds
Monies are available usually on a matching basis, to assist organizations in bringing programs and events to the campus community. Application forms and criteria are available from the Office of Student Governance.
 
UTA-HOSTS! Peer Mentor Program
UTA-HOSTS! is a peer mentor program which matches upperclassmen with new students of the same major. The purpose is to help students adjust to life at UTA and show them the benefits of being involved. Organization members are encouraged to serve as mentors and help build community at UTA!
 
Banner Making Facilities
Student Organizations may make paper banners in the banner room. Banner paper and paints are provided. Contact the Office of Student Governance and Organizations to reserve the banner room.
 
Leadership Development Series/Workshop Presentations
N2 is a topical workshop series for student organizations.  The workshops are held periodically each semester.  Usually there are afternoon and evening sessions.  Topics include marketing your events, web site development, team building and officer transition.  Contact the Office of Student Governance and Organizations for a complete schedule. Leaders’ Hints is a series of brochures with similar leadership topics available in the Office of Student Governance and Organizations.

Such diverse topics as Balancing Your Schedule, Member Development, Management Styles, Successful Programming, and a host of others are available. Student Organization MAV EXPRESS Card
These "credit cards" allow Student Organizations to establish a debit account with the University. Contact the Mav Express Office at 817-272-2645 for further details.

World Wide Web Sites

Campus Printing Services
Campus Printing Services is located in the Wetsel Service Building on Mitchell Street.  They offer copy services as well as make the Hub Banners for the UC.  Call 817-272-3573 for more information.

 Digital Media Classroom
This self-service multi-media production and training facility is located in the Central Library Building, Room B29. It is open Monday - Friday from 10 am to 4 pm. Computer hardware and software suited for developing almost every type of multimedia project is available. Contact 817-272-1345 for more information or visit their site: libraryweb@uta.edu.

Xerox Copy Center
The Xerox Copy Center located in the basement of the Library offers basic copy services.

Campus Dining Services
Campus Dining Services offers a total catering department for food and beverage, serving large and small functions.  Campus Dining Services also offers registered student organization’s use of equipment such as portable barbecue grills, utensils and coolers.

If your organization has an event that it would like publicized outside the UTA Community, contact the Director of Public Affairs at 817-272-2761.

University Accounts
 
    University accounts are available to organizations who wish to take advantage of the opportunity. There are no service charges for university accounts.  Although Accounting and Business Services and the Bursar’s Office work with Student Governance and Organizations on these accounts, transactions take place through the Bursar’s Office.
 
/          To Establish an Account
1.     Fill out a “Request for Student Organization University Account” form, or a “signature card.”  These are available in the Office of Student Governance and Organizations. You may indicate on the request the requirement of one or more signatures of the organization’s officers, in addition to the University requirement of the signature of the organization’s sponsor (advisor), to authorize expenditure of funds.  Submit it to the Office of Student Governance and Organizations for approval.
2.     Student Governance and Organizations will send the approved request to the Business Office for assignment of an account number.  Two copies of the request will then be returned to the Student Governance and Organizations, one copy for distribution to the student organization advisor and one copy to be retained by the Office of Student Governance and Organizations.  The Bursar’s Office will keep one copy for quick reference.
3.     Deposit of funds may then be made to the assigned account number by going to the Bursar’s Office in Davis Hall.  You must know your account number in order to deposit monies in the Bursar’s Office. Any officer or member may deposit monies in an organizational account. Deposit slips are available in the Office of Student Governance and Organizations and near the Bursar’s Office in Davis Hall.
 
/          To Withdraw Monies from the Account
1.     A two-part “Payment Approval Voucher” is used to withdraw funds from the account.  These vouchers are available from the Office of Student Governance and Organizations as well as Davis Hall near the Bursar’s Office.  It should be submitted to the Bursar’s Office for payment after securing the required signatures.  The signature of the Director of Student Governance and Organizations may be obtained if the sponsor (advisor) is unavailable to sign the voucher.
2.     Vouchers may be prepared in either of two ways as indicated below:
a.      Vouchers may be made payable to an individual within the organization for cash.  That individual should present the voucher to the Bursar’s Office.  It will either be certified as a cash voucher, allowing it to be cashed, or a check will be made and mailed. Up to $300 of cash may be withdrawn on a single day.
b.     Vouchers may also be made payable to a third party, where upon a check payable to that party  will be made and given to the representative of the organization for their disbursement. If you wish a check to be written, please allow ample time.
 
/          General Account Rules
1.     Monthly ledger sheets on all student organization accounts will be mailed to the Office of Student Governance and Organizations for their distribution to the Advisors for the individual organizations.
2.     All student organizations with University accounts are expected to always maintain positive balances.  Failure to do so may result in the loss of University registration of the organizations.
 
UTA Student Organization Funding    
    The University of Texas at Arlington has available a limited amount of funds to assist registered student organizations.  In order to be eligible to apply for funding, the organization must be duly registered, not under sanction, and conform to all applicable University organizational standards.  Organizations that receive Student Service Fee funding or money from a department that receives Student Service Fee funding are not eligible for this funding.  The Program Assistance funds, for the most part, are dollars available as supplemental funds.
 
Criteria:
There are three budgetary areas (see attached form) in which organizations may apply for funds.  Examples of items that may be considered for funding in each category are:
 
Educational Programs
Activities
Travel
Symposium
Colloquiums
Seminars
 
Speakers
Tournaments
Debates
Expenses for travel to make presentations or receive awards at State or National Conferences.  Travel to represent UTA at State, Regional or National Competitions.  Funding requests will be considered only if travel is by common carrier.

 Definitions

Educational Programs are those events in which the participants are primarily engaged in scholarly activities or engaged in an event of an educational nature. Activities are those events in which the participants are primarily engaged in programs that are co-curricular in nature or an event that has as its objective co-curricular outcomes.

Examples of items that will not be funded include:

· Scholarships, awards, and gifts

· Fundraising projects

· Social events, parties, food, and drink

· Newsletters, publications
