Finance Society Officer Positions and Requirements  

Senior Officers

President – Elected by society members.  Head of the Council, confers with faculty advisor, co-signs checks. Appoints Treasurer, Secretary and Web Site Director positions. Prepares and mails or emails information to current members before the semester begins. Ensures the return of the office keys to UTA Key Control, handles paperwork for key requests for oncoming officers. Provides the Finance Department with a membership list. Holds officers voting for the meeting and activities dates at the beginning of the semester. Reviews the necessary paperwork for securing meeting rooms for presentations from the Faculty Advisor. Drafts a letter to The Finance Department letting them know who the officers are and what activities are planned for the semester. Develops a strategic plan with the VP of Membership to increase membership through Class Presentations, Bulletin Boards, Finance Society Recruitment Table, Display Board, Brochure, Activity Fairs, etc. Continuously works on the FMA Superior Chapter requirements and communicates with the Director of Student Programs of the FMA. Completes and submits the Student Governance Membership Update Form at the beginning of each academic semester along with the Vice President of Membership and the Faculty Advisor.


Senior Vice President - Elected by society members.  Primary responsibility is to assist the President. Also advises the membership council. Appoints Ambassador to Alumni and Ambassador to Business Constituency (BCC) positions. Arranges and sets up all social events, including but not limited to Bowling and Billiards, Movie Nights, and Awards Banquet. Make all travel, hotel and registration arrangements to the FMA Student Leaders' Conference during the spring semester. Develops and implements fund raising activities including but not limited to Wall Street Journal promotion, Internet Investment Challenge, and Bake Sales. Sends donation request and follow-up letters to local businesses.


Vice President of Programs & Promotions - Elected by society members.  Arranges and coordinates all events. Appoints Publication Director and Promotions Director Positions. Schedules events with the President. Solicits company representatives to speak at the Business Meetings with the assistance from the Faculty Advisor. Reviews confirmation letter(s) and additional information to future speakers as prepared by the Faculty Advisor. Picks up garage parking passes for the speaker(s). Sends thank you letters to representatives who spoke at the Business Meetings. Coordinates all promotion activities including flyer approval and placement, and invitations to functions with the assistance of the Faculty Advisor. Coordinates with the Publications Director that the Resume Book is sent to all companies represented at the Business Meetings. Must have excellent communication skills.


Vice President of Membership - Elected by society members.  Maintains a current list of members, accepts and processes applications with assistance from the Treasurer, coordinates membership activities. Develops and sends invoices to unpaid members. Appoints all Assistant Membership Officer(s). Coordinates activities for membership drive including membership table, display board and display case (on the first floor). Must be proficient in Access, Excel and MS Word.


Treasurer – Elected by society Members. Responsible for all banking transactions and financial reporting to the President and Faculty Advisor. Reports quarterly income statements and balances, fund raising revenues and deposits. Appoints all Assistant Treasurer(s).  Shops for each bake sale and coordinates with other society members for assistance, possibly every day to ensure freshness and availability of the products. Develops sales strategies with companies for items sold during the bake sale. Maintains a petty cash, reconciles monthly bank statements and issues checks. Must be proficient in Excel.


Secretary – Appointed by the President. Attends all meetings (officers, General and business), takes the minutes. Appoints all Assistant Secretary(s).  The Secretary will also be in charge of informing members about upcoming event by e-mail, creating all handouts and sign-up sheets for Business Meetings, setting up the meeting and lunch room and cleaning up afterwards, reserving rooms for the Business Meetings, helping the Programs and Promotions Director post fliers inside the Business School .  Checks mailbox in the Finance Department office and recovers messages from the secretaries in the Finance Department office.  Must be available for Finance Society office hours.  Must be proficient in MS Word and Outlook Express (or other email programs).

 

Senior positions usually require day and evening participation. These positions require a substantial amount of personal time. All Executive Officers will assist with major events, including and not limited to: speaking to business classes for recruitment efforts.

   

Junior Officers

Ambassador to Alumni & BCC – Appointed by the Senior Vice President.  Appoint all Assistant Ambassador(s).  Keeps in contact with Alumni, helps coordinate Awards Banquet with Senior Vice President. Develops donation requests to be sent to Alumni. Attends all Business Constituency Council Meetings and reports information to the Executive and Junior Officers.  Must attend bi-weekly BCC Meetings.


Promotions Director – Appointed by the Vice President of Programs and Promotions.  Appoints  all Promotions Assistant(s). Develops, creates, and posts fliers for all events and business meetings. Takes the flyers to be posted to the Student Governance in the basement of the UC to receive approval. Sets up the conference room for lunches after all business meetings, decides on the content and quantity of lunches to be served. Responsible for chalking the sidewalks for all activities and recruitment efforts. Registers for university events and communicates them to the UTA Shorthorn.


Publications Director – Appointed by the Vice president of Promotions and Publications.  Appoints all Publication Assistant(s).  Solicits and accepts member resumes. Must develop a professional resume book and meet a resume deadline. Coordinates with VP Programs & Promotions on mailing resume book to high quality companies. Solicits articles, designs and produces the newsletter. Coordinates publishing with the President and is responsible for distribution. Must be proficient in MS Word and Publisher. Updates the tri-fold brochure each semester for recruitment efforts.


Wed Site Director – Appointed by the President.  Appoints all Assistant Web Site Developer(s). Coordinates with the President and the Faculty advisor on web site development and maintenance. Updates the web site on a daily basis as needed. Seeks out ways to improve the web site and adds informational material such as job openings and acquisition of financial certifications. Knowledge of HTML and FrontPage 2000 and 2003 is preferred.  

Junior positions will require some personal time to complete tasks and the ability to meet deadlines.  

Freshman Officers

Assistant Officers – Appointed by Respective officers.  May also Appoint any Assistant(s) they may require. Primary function is to assist in the delegation of authority from their respective officer. Seeks out ways to improve the Society and the quality of other members experiences. Understanding of resource delegation and pertinent software is preferred but not required.

All officers are responsible for submitting an additional questionnaire list for any invited speaker. These questions are to be sent to ??? one week prior to the date of the presentation.
