Academic Deadlines and Eligibility for Graduation

Congratulations! If you are completing or are scheduled to complete your academic requirements for a bachelor's degree at The University of Texas at Arlington, you are considered a candidate for graduation.

As you prepare to graduate, please make sure to meet all your academic requirements and complete your financial obligations. Students are typically allowed to participate in their commencement ceremony if they apply for graduation by the deadline and if they have completed all of the requirements for their degree program or will have completed all of those requirements by the end of the graduation term. A student's academic School or College does have the right, however, to prohibit a student from attending his/her commencement ceremony based on School or College criteria used for determining who is and is not eligible to "walk" in their commencement ceremony each term. While the list below is designed to guide you through the process, please consult the office of your School or College if you have any questions about your graduation eligibility.

  1. Consult the complete graduation checklist provided by the Office of Records.
  2. When you are within one academic year of your intended graduation semester, schedule an appointment with your School or College academic advisor to identify all remaining coursework in your degree program (see the Office of Records Graduation page). Notify your advisor of any courses you are taking both at UT Arlington and other institution(s). Obtain from your advisor a registration schedule for completing that remaining coursework by no later than the end of the intended graduation semester.
  3. Apply for graduation via MyMav on or before the deadline set on the academic calendar.
  4. Verify your name as you wish it to appear on your diploma, your current and permanent home addresses and phone number to ensure receipt of time-sensitive degree information and your diploma. 
  5. After you apply to graduate, check your MyMav and University e-mail account regularly for important graduation information and updates during your graduation term.
  6. Successfully complete your degree program requirements.
  7. Successfully complete credit by exams before your graduation term to ensure sufficient processing time to score and evaluate for required degree program credits.
  8. Successfully complete all coursework you are taking at other institutions during the graduation term and report that coursework to the Office of Records in Davis Hall 129.
  9. Approximately one month prior to your date of graduation, you will receive notification if you will be graduating with honors (Magna Cum Laude, Summa Cum Laude or Cum Laude). See the Office of Records Graduation page for how this is determined.
  10. Clear your academic record. Previous incomplete grades must be converted to satisfactory letter grades before you can graduate. Incompletes received in your final term will prevent you from graduating and receiving your diploma.
  11. Satisfy all financial obligations (fines, tickets, fees, etc.) with the Bursar's Office in Davis Hall or online. Outstanding debt will prevent release of your diploma and transcript.
  12. If you qualify, submit a Tuition Rebate form and/or your B-on-Time Loan Reimbursement form to the Office of Records.
  13. Confirm with your College or School your intent to participate in your commencement ceremony. Confirm how many tickets you will be allotted for your commencement ceremony.
  14. Should your plans change and you will no longer graduate in the term you applied, notify the Office of Records and your School or College immediately.
  15. Order your academic regalia by the deadline at the UT Arlington Bookstore. Graduation announcements, diploma covers and college rings are also available.
  16. Complete an exit interview online.
  17. Visit Career Services for help writing your resumeé and to consult other career-related materials.
  18. Become a member of the UT Arlington Alumni Association.
  19. Final grades will be posted to your transcript within 4-6 weeks of your commencement ceremony.
  20. Diplomas will be ready approximately 6-8 weeks after your commencement ceremony.

Graduating with Honors

The criteria for graduating with honors varies by School and College, but in general it is based on GPA and other stipulations as outlined in the undergraduate catalogue under which the student originally enrolled. If a student meets the criteria for graduating with honors, (s)he will receive notification from his/her School or College a few weeks before the commencement ceremony. Candidates for graduation should note that the honors announced at commencement do not include the final semester grades. Therefore, the level of honor may change once the final grade audit is complete.

All students who are candidates for graduating with honors may purchase an honor cord to wear with their regalia for the commencement ceremony at the UT Arlington Bookstore.

Commencement Program, Diplomas and Transcripts

Although commencement exercises take place immediately after the completion of finals week, your final grades will not post immediately, nor will the results of your final degree audit to confirm your successful completion of your coursework and conferral of your degree. Therefore, be sure to check your UT Arlington e-mail account for the result of your final degree audit check. If your final degree audit check is satisfactory, you will receive an e-mail message informing you that your bachelor's degree has been officially conferred. If your final degree audit check is not satisfactory, you will receive an e-mail message informing you that your bachelor's degree could not be awarded due to an unsatisfactory final degree audit check. The latter message will also include instructions on what must be done for you to pass your final degree audit check.

After your degree has been officially conferred, transcripts and diplomas will become available. For more information, contact the Office of Records, Davis Hall 129.

Commencement Program

IF, IN MYMAV, YOU HAVE OPTED TO RESTRICT DIRECTORY INFORMATION, YOUR NAME WILL NOT APPEAR IN THE PRINTED COMMENCEMENT PROGRAM UNLESS YOU CHANGE THAT RESTRICTION. This must be completed at least two months prior to the date of your commencement ceremony.

Diplomas

Diplomas will be ready approximately 6-8 weeks after commencement ceremonies. Graduates who paid a fee to have their diplomas mailed will receive their diploma in a hard cardboard mailer by first class priority mail. Graduates who wish to pickup their diplomas at the Office of Records front counter will be notified by email when their diplomas are available for pickup. Graduates must provide a photo ID to pickup their diplomas in the Office of Records. Graduates with account balances must clear those balances before their diploma can be picked up or mailed.

Transcripts

If you successfully completed your course work and were enrolled only at UT Arlington, your degree will be posted to your transcript within 4-6 weeks of your commencement ceremony. If you were taking classes at another institution during the graduation term, have an incomplete grade, or are awaiting exam credit, additional time will be needed before your degree can be awarded and posted to your transcript. UT Arlington cannot award a degree that includes transfer credit hours in the degree plan until it receives and has evaluated official transcripts from the colleges and universities from which the transfer credit was earned.

Graduation Attire

Academic dress or academic regalia is a traditional form of clothing for academic settings worn by those that have been conferred a university degree. The ensemble consists of a gown (also known as a "robe") with a separate hood for advanced degree candidates and holders, and usually a cap (generally either a mortarboard, a tam, or a bonnet) which are different for each institution. Colored tassels adorn the cap and signify the academic area of study. All undergraduate participants in UT Arlington's commencement ceremonies wear a university-approved black cap and gown, which can be purchased from the UT Arlington Bookstore.

Caps & Gowns

Caps and gowns for each School and College are sold at the UT Arlington Bookstore. Students graduating with a bachelor's degree must purchase or order their cap and gown no less than one month prior to commencement in order to assure that their custom tassels arrive in time for the ceremony.

The UT Arlington Bookstore will host a Grad Finale about 8 weeks prior to commencement weekend. Grad Finale is an opportunity for the graduate and/or their parents to view and purchase regalia, diploma frames, order invitations and the Official Maverick class ring. Representatives will be in the store to answer all questions regarding commencement.

Earth-friendly regalia:  In partnership with Jostens, the University's exclusive supplier of academic regalia, UT Arlington provides commencement robes that are affordable, high quality and environmentally friendly. Constructed of fiber made from wood sourced exclusively from renewable, managed forests, the fabric has been shown to decompose in soil in one year. In addition, the coil zipper tape and teeth are made from 100% recycled PET. Earth-friendly packaging contains material that facilitates the decomposition process of the cap and gown bag. Jostens also offers a unique Student Give Back Program. When graduates redeem their regalia hang tag code online, Jostens contributes $1.00 to support sustainability initiatives.

Tassels

A complimentary custom tassel is provided with the cap and gown. Tassel colors are particular to each College or School:

  • Architecture – Lilac
  • Business - Drab
  • Education and Health Professions - Light Blue
  • Engineering - Orange
  • Liberal Arts – White
  • Nursing - Apricot
  • Science - Gold
  • Social Work - Citron
  • University Studies - Blue, Orange and White
  • Urban and Public Affairs - Peacock Blue

Traditionally, candidates for a bachelor's degree place the tassel on the right side of the mortarboard until the degree is conferred; tassels are moved to the left side when the degree is conferred. All other degree candidates place the tassel on the left side of the mortarboard, where it will remain.

Honor Cords

Any students graduating with honors may purchase an honor cord to wear as a part of their commencement regalia. Honor cords are available at the UT Arlington Bookstore.

Before and after each commencement ceremony, representatives from the UT Arlington Bookstore and the Student Alumni Association will provide graduates and their families the opportunity to purchase commemorative items and roses.

Graduate Exit Survey

How was your UT Arlington experience? Every UT Arlington undergraduate is asked to provide this feedback on a graduate exit survey. You will receive instructions for completing this online survey 4-6 weeks prior to your commencement ceremony. Your feedback will help make UT Arlington the best that it can be for future Mavericks.
