Glossary of Terms

  1. Financial Management System (FMS): A term used by the UTShare Implementation Project to define the PeopleSoft Financial Supply Change Management (FSCM) software application, which includes various modules, such as general ledger, asset management, and purchasing.

  2. Human Capital Management (HCM): A PeopleSoft software application that includes various modules, such as human resources, benefits, and payroll.

  3. Interactive Design & Prototyping (IDP): Group sessions that focus on Financial Management Services (FMS), Human Capital Management (HCM), and Grants PeopleSoft modules to:

    • Review current business requirements
    • Demonstrate PeopleSoft functionality
    • Discuss, validate and design future business processes via conceptualized and prototyped system
    • Identify and create an inventory checklist (i.e. data conversion, interfaces, reporting requirements, and security)
  4. Module: A bundle of forms, tables and processes associated to specific tasks that can be accessed via PeopleSoft. UTShare will implement various Finance and Human Capital modules that departments and end-users will access, such as:

    Accounts Payable

    • Review voucher data
    • Pay purchase orders
    • Review vendor payment information

    HCM

    Benefits / Benefits Administration / eBenefits

    • Track and view employee benefits plan information (i.e. health, retirement, etc.)
    • View leave accruals for faculty and staff
    • View benefits coverage and deduction information
  5. PeopleSoft: A commercial software solution owned by Oracle® that includes the Financial Management System (FMS) and Human Capital Management (HCM) system. Originally developed in the late 1980s, it is now one of the leading higher education and student information systems in the world.

    PeopleSoft facilitates and integrates all business functions, including:

    • Human Resources, Benefits, Payroll
    • Accounting, Purchasing, Physical Asset, Inventory Management
    • Accounts Receivable, Accounts Payable, Budgeting, Financial and Management Reporting
  6. UTShare: The University of Texas System Shared Services HCM and FMS Implementation Project that will replace DEFINE, the current HR and FMS Information System. The UT System Administration and the following institutions are participating in this effort:

    • UT Arlington
    • UT Brownsville
    • UT Dallas
    • UT El Paso
    • UT Permian Basin
    • UT San Antonio
    • UT Tyler

     

    UT Dallas is the pilot institution and is in production. When complete, all eight participants will be in a single instance of PeopleSoft HCM/FMS. Click on the image above to learn more about how this project will be managed and governed.
