Department Equipment Refresh Recommendations
OIT recommends that departments create an equipment refresh plan for desktop and laptop computers. This system will allow departments to take advantage of improvements in hardware and software, while providing a clear budget path for maintaining and upgrading systems. It will remove inventory items which become increasingly difficult and expensive to repair. Users will benefit from systems that can drive the increasingly demanding software needed for their jobs.
While each department has unique equipment needs, a basic 3/4 year plan works for most areas. Under this system, no machine is more than 4 years old (the upper limit for repairs and most software compatibility).
- Machines used daily are less than 3 years old and under warranty are used as primary machines for faculty and staff.
- Machines between 3 and 4 years old are distributed to GRA, GTA, and student workers, temporary, test, and back-up machines.
- Machines more than 4 years old are sent to surplus for proper disposal.
Other cycles can be used, but OIT does not recommend using any machine more than 4 years old.
OIT strives to maintain a bulk purchase price which allows departments to plan for future purchases, while maintaining the best stable technology for the same price range.
Departments are encouraged to include system replacement in the normal operating budget.
