UTShare Time & Absence Management - Go-Live Reminder

Good afternoon,

As previously announced, the transition to UTShare Time Management, the system to track employee work hours, begins March 2, replacing TCP. UTShare Absence Management, the system to track employee leave, is expected to be available by March 9.

Below are key transition details you need to know during this transition. The system transition will take approximately one week, with additional guidance provided throughout the process.

Time Management Key Items

  1. By February 28, Employees must submit all remaining time in TCP; managers must approve all remaining February items in TCP.
  2. March 2: WebClock in UTShare goes live and becomes the required method to record time. Employees who normally use physical time clocks: clocks will be offline March 2–March 8; use WebClock or work with your timekeeper to use a paper timesheet.
  3. March 2: Non-exempt employees move from monthly to semi-monthly pay (two paychecks per month / 24 per year). Reference payroll processing dates here.
  4. Leaders must review and approve employee time in UTShare. Unapproved time will not be paid.

Absence (Leave) Management Key Items

  1. Before March 1, all employees should review their leave balances in TCP.
  2. March 9: Vacation and sick leave balances become available in UTShare. Leave taken during the first week of March must be entered into UTShare retroactively for accurate pay.
  3. Leaders must review and approve employee leave in UTShare. Unapproved time will not be paid.

Training Available

  • Canvas employee training provides a walk-through of how to report time, request leave, and approve time in UTShare.
  • Instructor-led Timekeeper training (for timekeepers only): Required only for employees who need Timekeeper access.
