We hope that the information that we have provided for you will help with any questions you may have about UTA's expectations for your student. It is our goal to ensure that all students receive due process as well as ensuring educational opportunities for students’ personal growth.

While at our website, we encourage you to explore all the information you feel will be essential to answering these questions. We want to remind you that without your son/daughter's consent, we cannot discuss their disciplinary matters with you as a parent or guardian.

To aid the process of working with your Student, the Dean of Students offers a FERPA delegation process through MyMav. This process is outlined below.

FERPA Form

FERPA (The Family Educational Rights and Privacy Act) protects the privacy of your education records. By completing a FERPA delegation, you can authorize the Office of the Dean of Students to discuss specific information from your student record with a person you choose, such as a parent, guardian, spouse, or other trusted contact. This authorization helps ensure that information is only shared with individuals you have approved and in accordance with federal privacy regulations. You may update or revoke your delegation at any time.

Follow the steps below to add or manage your FERPA-delegated contact.

  1. Login to MyMav with your student credentials
  2. Scroll down to “Share My Information Tile” and select
  3. Select “Delegate Access to a New Contact”
  4. Review the Terms and Conditions
  5. Complete the form
    • To delegate access to information for the Office of the Dean of Students, select “Student Conduct and Outreach”

Frequently Asked Questions

Community Standards sends summons letters and request to appear letters to students either involved in or witness to a policy violation. Their letter will provide your student with a date and time for a meeting with a staff member. That meeting is your student’s opportunity to provide their perspective on the incident in question, so a staff member may investigate the information provided in the referral, to determine whether a student is responsible for a policy violation, and, if so, what sanction is appropriate.

Meetings are held with just the student. However, a parent(s) can attend once their student has designated the parent as a FERPA-delegated contact, allowing the release of confidential information to the specified parent(s). The parent will not be permitted in the meeting without this delegation. See the "FERPA Form" section on our Forms page here for more information on this delegation process.

During this meeting, the parent will serve in an advisor role. This means that while your parent can attend the meeting with you, the conversation in the meeting will be between you and the staff member. Advisors are not allowed to participate in meetings unless they are an advisor for a hearing under UTA’s Sexual Misconduct Policy.

Student disciplinary records are protected under FERPA. The best practice is for your son/daughter to inform you about any disciplinary charges directly. Students can authorize release of all information in their disciplinary files. As allowed by FERPA, Community Standards may send a Parental Notification to a parent when a student who is under 21 is found responsible for an alcohol or drug policy violation.
