USPS Services

The primary function of the Mail Services Department (MS) is to process all mail for departments, faculty, and staff including both United States Postal Service mail for the 76019 zip code and interdepartmental mail for the UTA campus.

  • Processes incoming and outgoing mail daily for each department on campus.
  • Performs permit mailings for departments according to USPS guidelines.
  • Performs special pickup and delivery when required by a department.
  • Distributes interdepartmental mail within the University without the payment of postage according to University guidelines.
  • Assigns all departmental box numbers.
  • Processes journal entries to charge departments for postage use on USPS mail.
  • Oversees the University Permit’s authorization with the USPS.
  • Provides support to Vendors that provide mailing services for the University.

IMPROPERLY LABELED MAIL

If UTA receives a piece of mail that does not contain enough identifying information to determine the intended recipient, we have no option but to open the item in an attempt to identify who it belongs to. Once the recipient has been determined, we will re-seal the envelope and stamp it with a reminder to contact the sender and update your mailing information to include your full name and specific office or room number. Without this information, we have no reliable way of determining who the mail is intended for, which can delay delivery.

As an example, if a piece of mail comes in that is simply labeled:

UT Arlington
University Administration Building
701 S. Nedderman Drive
Arlington, TX 76019

That piece of mail will need to be opened in order to identify the intended recipient. There is no central or generic mail drop location in any building on campus, so mail must be addressed with enough information for proper delivery. Please contact the sender and have them update the mailing address to include:

UT Arlington
University Administration Building
Attn: XXXXX XXXX
Room: XXXXXX
Arlington, TX 76019

Likewise, if a piece of mail includes an office or room number but does not include a recipient's name, it will be delivered to that location regardless of who currently occupies the space.

NonProfit Mail

As a nonprofit organization, we are entitled to significant mailing discounts. A nonprofit mailpiece is essentially a standard mailpiece with a permit imprint indicia printed onto each piece.

Qualify for Discounts

To qualify for presorted mailing discounts, your mailpiece must meet certain guidelines set by the USPS. Generally speaking, your piece must meet size restrictions (length, width, and thickness), weight restrictions, and design/layout restrictions. A helpful tool for designing your mailpiece is the Business Mail 101 portion of the USPS website.
