Hosting a Camp or Conference at UTA

We know you will be impressed with what UT Arlington has to offer. With on-campus housing, dining, recreation, conference, and classroom facilities, The University of Texas at Arlington has a variety of options designed to meet your summer program needs. 

TYPES OF SUMMER CAMPS: KNOW BEFORE YOU NAVIGATE

UNIVERSITY DEPARTMENT SPONSORED PROGRAMS

University division/department programs are any day or overnight/commuter summer programs sponsored or organized by a UT Arlington division/department. The University division/department contracts with Guest Services to utilize University facilities including but not limited to housing, dining, classroom, recreation, and meeting space.

SPONSORED EXTERNAL PROGRAMS

Sponsored external programs are any day or overnight/commuter summer programs organized by outside groups and organizations that are sponsored by a UT Arlington faculty, staff, college, or department in line with the university’s educational mission or interest. The outside group or organization contracts with Guest Services and the UTA sponsoring entity to utilize University facilities including but not limited to housing, dining, classroom, recreation, and meeting spaces.

If your program is looking for a UTA sponsor, please contact our office at conferences@uta.edu so that we could possibly assist you in finding a potential collaborator.

ACADEMIC YEAR CONFERENCES/MEETINGS

For facility inquiries during the academic year, from mid-August through mid-May, please browse our On Campus Facilities page. Each venue is responsible for reservations during the academic year and can be contacted directly to inquire about space and availability.

Summer Program Timeline

UTA begins taking requests for internal and external sponsored groups’ summer housing reservations.  
For tentatively scheduled groups, UTA will follow up on more specific details regarding your program, if need be, and set up a month-out meeting. At this time UTA will send agreements for camps to sign and return.
UTA will meet with scheduled groups to finalize camp logistics (Check-in/check-out, Hall preference, estimated participant count, etc.). Camp agreements are due.  
Camp rooming assignments, agreement addendums, and other critical information about your participants are due.  

After this time, all changes and adds must be requested through Guest Services and subject to late request fees.
Check-in at agreed upon location. You will receive key cards, maps, Wi-Fi logins, and other information.

Please submit a summer housing Request Form and a representative will be in touch within two business days. Before you begin, you will need: '

  • UTA Hosting Department and Contact 
  • Camp on-site contact 
  • UTA billing account number 
  • Estimated number of guests/bed space 
  • Approximate check-in/out dates
