Apartment Application Policies 2024-25

Submitting your application

  1. Early Application Encouraged: UTA apartment communities fill fast. To increase the likelihood of being offered available housing, early application for an apartment is encouraged. Students may begin to apply for housing as early as October 2, 2023. Applicants who do not submit a completed apartment application will not be eligible for housing assignment.

  2. Housing Eligibility: Application for housing is separate from application to the University of Texas at Arlington. Acceptance as a student is acknowledged only through the Office of Admissions and is not a prerequisite for applying for housing. Applicants are responsible for verifying acceptance to the University before accepting an offer for a housing property. The offering of a property does not guarantee or indicate that the applicant has been admitted to the university.

  3. Enrollment Requirement: Apartment residents must be enrolled in at least six credit hours at UTA. Residents need not be enrolled in summer classes provide they will be enrolled in the fall and spring semesters.

After Submitting your Apartment Application

  1. Apartment Assignment Priorities: To provide reasonable consideration to current residents who want to return to their Apartment Community and new housing applicants, available apartment units shall be assigned to apartment applicants based on the following priorities.
  • Priority One Applicant Status: Current Leaseholders 

    Existing apartment leaseholders will be able to RENEW in February 2024 as follows:

    February 6-9, 2024: By Bed Apartments - Timber Brook, The Heights on Pecan, and the Lofts. 

    February 13-16, 2024: By Unit Apartments - Arbor Oaks, Meadow Run, and University Village.  

    Existing residents must be current in the payment of all housing and meal plan charges to be eligible to renew for the same space for the 2024 -2025 lease period.   

  • Priority Two Applicant Status: New Applicants 

    Lease offers for priority two applicants may be issued as early as February 2024. 

    In all instances, assignment to available bed spaces or available units shall be offered on a first-come, first-served basis according to applicant’s priority status as noted above, then according to applicant’s apartment application date.  
  1. Offer of Housing Property: Offers for apartments are made by text and email. Applicants are contacted via their UT Arlington and personal email account and via the cell phone number provided. Applicants are responsible for checking their email daily. Applicants are responsible for immediately updating their Personal Contact Details online if there is any change to their phone number, email address, or mailing address

Completing your apartment lease

  1. Acceptance of Offer: To accept an offer, the applicant must respond promptly and without delay. The applicant must pay the $150 security deposit and sign the online apartment lease in the housing portal within the time allowed or the offer will be considered void.

After completing your apartment lease

  1. Room and Roommate Selection:

  • Current By Unit leaseholders will be able to renew into their current unit.
  • New By Unit leaseholders will be assigned into a unit based on their preferred apartment unit type.

    Roommate Selection: By Unit leaseholders may designate their own additional occupant(s) if they choose to have a roommate(s).

    By Bedroom Apartment Selection
    (Applies to Leaseholders of The Heights on Pecan, the Lofts, and Timber Brook Apartments ONLY):

  • Current By Bed leaseholders will be able to renew into their current bed space.
  • New By Bed leaseholders may be able to select a unit and bed space based on their preferences. Apartment unit and bed space selection for all leaseholders will begin on May 31, 2024.

    Roommate Selection: Bed Leaseholders may use the Housing Application to search for and match with prospective roommates. Roommates are not confirmed until both students have signed a lease and assigned themselves to the same room space. If students assign themselves to different room spaces, they will not be roommates. Availability of room spaces adequate to accommodate roommate pairs is not guaranteed.
  • Priority roommate matching will occur through June 9. Students who match early have the best chance to successfully secure a room together.
  • Roommate matches are considered requests and are not guaranteed under any circumstances. Successful roommate matches may change in the event of lease cancellation, or room reassignment.
  • If no roommate is requested, students will be matched based on answers to questions on their housing applications.

    Roommates in By Bed Apartments are assigned based on gender and space availability. All buildings are coed; individual suites are not. Assignments are made without regard to race, color, religion, national origin, disability, sexual orientation, or veteran status. 

The Following Policies Also Apply

  1. Initial Application Period: New apartment applications are valid until the earliest of the following dates:
  • An accommodation offer is made, or until the beginning of the application term.
  • An applicant who wants to remain on the assignment list beyond the time noted above may renew the application.
  1. Application Renewal: Applicants who want to remain on the assignment list beyond the beginning of the application term are required to update and renew their applications to indicate continued interest in a UTA apartment. To renew an application, the applicant must submit an on-line renewal request. In such instance, the application will be renewed and the applicant will need to provide the following dates:
  • the earliest desired move in date during the application term requested, or
  • the latest desired move in date during the application term.

    An application may be renewed multiple times, provided the renewal request is received before the application expires.
  1. Assignment List Refresh: University Housing may send you periodic notices to confirm your continued interest in housing assignment.  You must timely respond to these notices to remain on the assignment list. If you do not confirm your continued interest within the time allowed, your housing application will be canceled.

  2. Application Expiration: An applicant, who does not receive an offer before the application expires (i.e., on the latest desired move in date or at the end of the application term), must contact the University Housing office to re-activate the application if it has been cancelled, and no consideration shall be given to the previous application.

  3. Application Reinstatement (For By the Bed Applicants Only): Students can request a one-time reinstatement of a canceled application. Reinstatements are not guaranteed and are based on availability.  Reinstatements will result in the original application complete date being updated to the reinstatement request date. Priority for assignment will be based on the updated application complete date.

  4. Special Conditions - Accommodations for Students With Disabilities: Many properties are already accessible for students with disabilities. If you have special needs because of a disability, you must note this on your application and contact the Student and Access Resource Center at 817-272-3364. You may also visit https://www.uta.edu/student-affairs/sarcenter for more information. Special requests should be made as soon as possible. Major alterations may require 4-6 weeks for completion.

  5. Policies Subject To Change: The University, in its sole discretion, reserves the right to make exceptions and changes to the assignment priorities and policies without prior notice and without compensation to applicants waiting for assignment to university housing.
