Your First Day

To help you get started smoothly, we’ve put together a checklist of important tasks to complete on your first day.

Required Tasks

From day one, we want you to feel welcomed and prepared to begin your journey with us. As you settle in, you'll start to discover what it truly means to be a part of the UTA community and your new team.

Remember, you must attend your I-9 onboarding appointment, which you scheduled online before your first day. At this appointment, you will complete Section 2 of your Employment Eligibility Verification form. This step must be completed within 3 business days of your start date.  

IMPORTANT:

Be sure to bring your ORIGINAL acceptable documents—copies, photos, or scans are not accepted.

As part of your first-day tasks, make sure to set up your direct deposit and finalize your W-4 withing 3 days of starting. This step ensures your pay is processed securely and on time.

Here's how to complete this process:

  1. Login to UTShare: Visit UTShare - https://www.uta.edu/utshare, select The University of Texas at Arlington from the dropdown, and log in using your UTA Email and password.
  2. Access Payroll Setup:
    • Click on Employee Self Service
    • Navigate to Payroll and Compensation to set up your direct deposit and fill out your W-4 form.

NOTE:

Direct deposit and W-4 form completion is available in UTShare after your official start date.

 

Browser Tip: For best results, use Mozilla Firefox or Google Chrome. If you encounter issues, clear your cookies and cache, close your browser, and reopen it.

Your Mav ID is the official identification card for all UTA students, faculty, and staff. To get yours, simply visit the Mav ID Office during office hours—no appointment needed! The process is quick and easy. Just remember to bring a government-issued photo ID with you.

It’s essential to complete all tasks in your MavJourney Onboarding Checklist in UTShare on your first day. Key items like setting up direct deposit, W-4, and W-2 forms, and other important steps must be done to avoid delays in receiving your first paycheck and to ensure seamless access to systems across campus.

Log in to https://uta.edu/utshare and click on the "Onboarding" tile to complete and finalize your MavJourney Onboarding Checklist today.

IMPORTANT:

To set up your Direct Deposit & W-4 form, you must wait until your first day.

Begin your journey at UTA by meeting with your manager to discuss your initial assignments and how they fit into your department's goals and organizational structure. This is also a great opportunity to review your schedule for the first week and confirm any required or recommended training.

In addition to your manager, you'll have the chance to meet your new co-workers. Building these connections will help you integrate smoothly into the team. Be sure to review your work hours and ask about policies regarding overtime, vacation and sick leave, holidays, and flexible work options. This initial meeting will set you up for success and help you start your UTA journey on the right foot."

Get to know your workspace. This includes the mailroom, breakroom, emergency exits, restroom, and parking locations.

Some departments may offer their own form of orientation for new employees. This varies by department.

On your first day, you'll find the MyApps page, which lists all the web-based applications you have access to as a UTA member. You are licensed to use any of the applications displayed on this screen to support your work and streamline your tasks.

As you prepare for your first day, be sure to check with your department for any specific dress code guidelines. Note that dress code requirements may vary, especially for student-facing roles. When in doubt, consider your audience and dress accordingly. Trust your judgment—we have confidence in you.

Important Payroll Information

Getting familiar with payroll procedures is key to ensuring you get paid accurately and on time. As a new employee, it’s essential to understand when and how UTA pay cycles occur, along with important deadlines and dates.

  • Timesheet Deadlines – when timesheets must be submitted for hourly employees.
