1 Week Before Your New Hire Arrives

Set them up for a smooth first day with these key steps.

The week before your new employee starts is your chance to make sure everything — and everyone — is ready. Take these actions to confirm details, communicate clearly, and help your new hire feel welcomed and informed.

Reach out to your new hire before their first day to confirm important details:

  • Start date and time
  • Office location or virtual login instructions
  • Parking information
  • Dress code expectations

Confirm that your new hire has received their system-generated credentials:

  • NetID email
  • Employee ID email

These are automatically sent after the new hire eForm is submitted and processed. If your new hire hasn't received them, follow up with the Office of Information Technology (OIT) for assistance.

Verify that your new hire is registered for the New Employee Experience (NEO) orientation. Ideally their start date should align with an available session.

Notes Icon  Note: If orientation doesn't take place during their first week, remind your new hire to review and complete benefits enrollment - they must enroll within 30 days of hire to secure coverage.

Blue Light Bulb Icon Tip: Your new employee can only register for NEO once they have received and activated their NetID and email.

Encourage your new hire to complete these important steps once they have activated their NetID:

  • Complete the MavJourney Onboarding Module in UT Share
  • Visit the MavJourney Onboarding Hub to review and complete additional new employee tasks

 These steps help ensure they are prepared and ready for their first day.

Remind your new hire to schedule an appointment with the onboarding center to complete their I-9 employment eligibility verification withing 3 business days of their hire date.

Schedule Appointment

 This step is required to verify their eligibility to work and must be completed promptly to remain compliant with federal law.

Create a simple directory of key department contacts to help your new hire know who to reach out to. Include:

  • Names
  • Roles/titles
  • Phone numbers
  • Email addresses

Lightbulb Icon Tip: Print a copy or email it to your new hire on their first day so they can easily reference it as they get acclimated.

Select one or more team members to serve as a buddy for your new hire.

A buddy provides informal guidance, day-to-day questions, and helps your new hire feel welcomed and supported.
