I-9 Process

Helpful information on how to prepare for your first day, as well as resources to help you get acclimated as a new employee at UTA.

I-9 PROCESS

Completing the Form I-9 is a very important step in the onboarding process. This page provides guidance on completing the I-9 process accurately and on time.

In accordance with the Immigration Reform and Control Act of 1986 (“IRCA”), the University of Texas at Arlington must verify the employment eligibility for all faculty, staff, and student workers paid by UTA and must be verified, within the first three business days of employment.

Completing the Form I-9 is a very important step in the onboarding process. Please read through the below instructions to ensure the forms are completed accurately and on-time.


Step One

On or before your first day of employment, employees, faculty, and students must complete Section 1 of Form I-9 online through our partner Equifax and E-Verify. Follow the instructions to login and complete Section 1 of the I-9 form.

 

Please note: Once you have submitted Section 1 of Form I-9, you will not be able to re-access it.

Step Two

Schedule an in-person appointment with our Onboarding Center to present your original I-9 supporting documents (see Step Three).

You have 3 business days from your start day at UTA to present these documents.

 

Step Three

Locate the acceptable forms of I-9 supporting documents and bring the original documents to the onboarding appointment.

 

Please note: All IDs must be originals. Copies/photos/scans will not be accepted.

Below are common examples of ID(s) we can accept:

  • Driver's License/State ID/School ID and Unrestricted Social Security Card
  • Driver's License/State ID/School ID and U.S. Birth Certificate (a state, county, municipal authority, or outlying territory of the United States bearing an official seal)
  • U.S. Passport or Passport Card
  • Permanent Resident Card
  • Employment Authorization Card

For international students on an F-1 Visa:

  • Foreign Passport and I-20 and I-94
    *To use this option we need all three, please access your I-94 by clicking here and printing it before the onboarding appointment

WHAT ELSE YOU SHOULD KNOW

All new or rehired employees, including faculty, staff and student workers, are to be E-Verified in compliance with federal law. The E-Verify process works together with the I-9 process and is facilitated by the onboarding center. The I-9 and E-Verify process are managed by our third-party vendor Equifax.
